Create and maintain an event budget

The event budget keeps expected costs, actual amounts, payments and due dates together. Update it when quotes or payments change so the remaining total is useful on event day.

Before you start

Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.

How to do it

  1. Open the event and choose Budget.
  2. Set the working budget or target where the page provides it, then create categories such as venue, food, entertainment, decorations and transport.
  3. Add each cost separately with a clear supplier or purpose. Enter the expected amount before confirmation and replace or supplement it with the actual amount when known.
  4. Record deposits and later payments accurately. Add the due date and a short note identifying the invoice or payment method without storing full card details.
  5. Mark an item paid only after the payment has actually left the business or personal account. A promise or scheduled transfer is not the same as paid.
  6. Review totals for budgeted, committed, paid and still due amounts. Investigate items with no amount or past due dates.
  7. Use the printable budget report when sharing a snapshot, then remember that the live Budget page remains the current record.

Important details

  • The budget is a planning record, not bank reconciliation or tax advice.
  • Keep customer booking payments and Partner Pro subscription invoices in their appropriate systems; do not mix them into an event cost without a clear reason.
  • When several hosts contribute money, use notes that explain responsibility without publishing sensitive financial information to guests.

If something does not look right

  • If totals look wrong, check for duplicate items, credits entered as costs, missing decimal points and items assigned to the wrong event.
  • If a printed report differs from the screen, refresh the budget and generate a new report after saving all edits.
