Use the Series Workspace, attendance and reports
The Series Workspace gives an overview of all sessions so organisers can identify missing hosts, RSVP pressure and attendance gaps without opening each event individually.
Before you start
Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.
How to do it
- Open the required Event Series and enter the Series Workspace.
- Filter or scan sessions by date and status. Start with the earliest session that has an attention warning.
- Check host assignment and confirmation, capacity, RSVP totals and any session-specific location or time change.
- Open a session to make detailed guest, reminder or attendance changes. Return to the workspace to confirm its summary updated.
- After a session, record attendance against that session rather than changing RSVP status as a substitute.
- Use role labels consistently when sessions distinguish lead hosts, helpers or other responsibilities.
- Review attendance trends across sessions and generate the printable report when a dated snapshot is needed.
- Close, archive or finish sessions only after attendance and outstanding actions are complete.
Important details
- RSVP records intention; attendance records what happened. They are not interchangeable.
- A series report is only as accurate as the individual session records.
- Private location or child-related information should only be shared with the people entitled to see it.
If something does not look right
- If totals do not match, open the affected session and check pending, declined, cancelled and attendance states.
- If a report omits a recent change, save the session, refresh the workspace and generate it again.
