Use Checklist+ to plan an event
Checklist+ turns an event plan into categories and tasks that can be reused, assigned and completed with the event team. It is best set up early, then reviewed from the event dashboard as dates approach.
Before you start
Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.
How to do it
- Open the event you are organising and choose Checklist+ or Planning.
- If the event has no checklist, choose a template that matches the event or start with a blank checklist. Preview a template before applying it when available.
- Rename the checklist so hosts know what it covers. Create categories for useful stages such as venue, guests, food, suppliers and event day.
- Add tasks with a specific action, due date, owner and notes. Split large tasks into separate actions so progress remains meaningful.
- Reorder tasks and categories into the sequence the team will use. Move a task rather than duplicating it when the responsibility changes.
- Invite or confirm co-host access before assigning collaborative work. Tell collaborators where event discussion or supporting information is stored.
- Tick tasks only when the action is genuinely complete. Review overdue items and the progress summary regularly.
- Delete a template item only when it does not apply; consider keeping it with a note if the team needs an audit of why it was skipped.
Important details
- Checklist+ is tied to the selected event; always check the event name before editing.
- Task completion does not automatically update booking, budget, RSVP or vendor records. Update the source feature as well.
- Templates are starting points. Review dates, quantities and responsibilities for the actual event.
If something does not look right
- If no checklist appears, choose or initialise a template from the Planning page.
- If a collaborator cannot edit, check their co-host role and permissions rather than sharing the owner account.
