Use Partner operations checklists and team permissions
Operations checklists keep repeatable work visible, while team permissions decide who may perform it. Give each person only the access needed for their role and review access when responsibilities change.
Before you start
Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.
How to do it
- Open Team and invite the person using their own email address. Do not share the owner login.
- Choose the closest available role, then review its permissions for profiles, messages, bookings, reviews, managed events, billing and team administration.
- Ask the new member to accept the invitation and sign in with their own account. Confirm they can see the intended business, especially when the owner manages several businesses.
- Open Checklists and choose a relevant template or create a checklist for the workflow.
- Assign clear tasks, owners and due dates. Put operational instructions in the task rather than relying on private messages.
- Use the activity or completion information to follow up on overdue work and to understand who changed a record.
- Remove or reduce access immediately when a team member leaves or no longer needs a function.
Important details
- The account owner remains responsible for actions taken by authorised team members.
- Billing, plan changes, account ownership and team administration should be restricted to trusted roles.
- Checklist completion records work performed; it does not itself verify legal, financial or safety compliance.
If something does not look right
- If a member sees the wrong business, check the business switcher and their invitation target.
- If a control is missing, compare the member’s role with the required permission before assuming the feature is unavailable.
