Roles: hosts, co-hosts, and guests
The event owner, co-hosts and guests have different responsibilities. Use permissions rather than sharing the owner password.
Before you start
Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.
How to do it
- The event owner creates the event and controls its main settings, access and ownership-level decisions.
- Invite a co-host from the event’s host or collaboration controls. Confirm the email and assign the role or permission set needed for that event.
- Review permissions for guests, invitations, messages, gallery moderation, planning tasks, attendance and other available tools. Give only the access the person needs.
- Tell co-hosts which changes require owner approval and where the current plan is recorded.
- Guests use their invitation or event access to respond and use only features enabled for them.
- Review co-host access before sending invitations and remove access promptly when the person no longer helps with the event.
Important details
- A custom role title changes how the role is described; it does not necessarily change the underlying permissions.
- A Partner link and Partner team role are separate from an event co-host role.
- Actions by an authorised co-host can affect guests immediately, so use individual accounts and review recent activity.
If something does not look right
- If a co-host cannot see the event, confirm the invitation was accepted with the intended email.
- If they can see the event but not a tool, check the assigned permissions and whether the feature is enabled for that event.
