Manage Partner vendors, assignments and vendor bookings

Vendor tools help a Partner keep supplier relationships and event assignments together. A vendor record does not replace due diligence, a contract, insurance checks or direct confirmation of availability.

Before you start

Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.

How to do it

  1. Open Vendors and search for an existing vendor before creating or inviting a new one.
  2. Review the vendor profile, services and contact information, then add or invite only the correct business.
  3. Use the vendor board or assignment tool to connect the vendor to the relevant managed event, customer or task.
  4. Add the required date, time, location, service, status, notes and responsible team member.
  5. Where a vendor booking workflow is available, send the request and wait for the recorded acceptance rather than treating the invitation as confirmed.
  6. Check the Vendor Calendar for conflicts and update changes promptly.
  7. Keep quotes, decisions and customer-visible information in the appropriate event or booking record. Store sensitive commercial notes only where the intended audience can see them.
  8. Close completed or declined assignments so the board reflects current work.

Important details

  • Vendors remain responsible for their own services, staff, licences, insurance, pricing and customer obligations.
  • A directory listing or ShareDay verification is not a guarantee that a vendor is suitable for a particular event.
  • Confirm material changes directly when timing, venue, price or safety requirements are important.

If something does not look right

  • If a vendor is duplicated, stop and contact support rather than splitting future records across both profiles.
  • If calendar availability conflicts with a verbal answer, obtain confirmation and update the recorded assignment before promising it to the customer.
