Manage a booking from request to completion

A booking has a lifecycle: customer verification, request or confirmation, Partner action, possible changes, payment records, messages and completion. Use the booking record as the single source of status.

Before you start

Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.

How to do it

  1. Open Bookings and select the request. Check customer verification, offering, date, location, party size, price and messages.
  2. For a manual request, accept only after checking availability and resources. If declining, give a useful reason and avoid exposing internal or another customer’s information.
  3. Use the booking conversation for questions and keep agreed changes in the booking record.
  4. For a reschedule, review the new time and resource availability before approving. Confirm the resulting date to the customer.
  5. For cancellation, record who requested it, the effective time and how the published policy applies.
  6. Record an offline payment or refund only after the business actually completed that transaction through its own payment method. Enter an accurate amount, date and note.
  7. Attach relevant safe documents and use the booking journal or PDF export when a complete timeline is required.
  8. Close or complete the booking only when no customer action, balance or unresolved request remains.

Important details

  • ShareDay status records do not move money unless the specific checkout says ShareDay is processing the payment.
  • Do not mark a refund as paid when it is only promised or pending with the bank.
  • Customer email verification helps protect the booking but does not replace identity or payment checks needed by the Partner.
  • Keep internal commentary out of customer-visible messages and attachments.

If something does not look right

  • If a customer did not receive verification, confirm the email spelling and use the resend option after allowing a few minutes.
  • If statuses disagree, stop editing, refresh the booking and check the journal before taking another action.
  • For a disputed payment or service, preserve the booking journal, messages and relevant external payment record.
