Configure booking availability, locations and resources

Availability controls when a request can be made. Locations say where it can happen. Resources prevent the same limited room, staff member or item being promised twice.

Before you start

Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.

How to do it

  1. Open the booking availability area and select the offering or schedule you are changing.
  2. Add normal available days and times, then set the duration or slot behaviour expected by the offering.
  3. Add blackout dates, closures or exceptions for holidays and one-off conflicts. Check the correct year and time zone.
  4. Create or select the customer-facing location. For mobile services, describe the service area and any travel conditions rather than publishing an unsuitable private address.
  5. Create resources for genuinely limited items such as a room, vehicle, staff member or equipment set, then assign them to the relevant offering.
  6. Review capacity and overlapping bookings. Make sure the resource rules match how many bookings can safely run at once.
  7. Test several customer dates, including a normal day, a blackout date and a time near opening or closing.

Important details

  • Availability is not the same as confirmed capacity. Confirmation settings decide whether a request is automatically accepted or needs Partner approval.
  • Removing a location or resource can affect future requests; check existing bookings first.
  • Customers should only see locations and instructions appropriate for their booking stage.

If something does not look right

  • If every date is unavailable, look for expired schedules, missing future hours, a resource with zero capacity, an unassigned location or a notice-period rule.
  • If double-booking appears possible, confirm every relevant offering uses the same shared resource.
