Create an Event Series and recurring sessions
An Event Series groups recurring sessions under one setup while keeping each session’s RSVP, hosts, reminders, attendance and operational status distinct. Use a series when events repeat and need coordinated oversight.
Before you start
Sign in to the correct ShareDay account and, if you manage more than one business or event, check the name shown in the account switcher before making changes.
How to do it
- Open Event Series and create a new series. Choose the general series or Care Pod workflow that matches how sessions are run.
- Enter the series name, description, normal location, audience and overall date pattern.
- Create the recurring sessions. Review every generated date and time; remove closures or holidays and add exceptions rather than relying only on the repeating rule.
- Set the appropriate capacity, finish time, role labels and host requirements for the series or each session.
- Review which details are inherited and which remain session-specific. A later change to one session may not be intended for all sessions.
- Assign or invite the correct hosts and confirm their permissions.
- Open at least two individual sessions and verify RSVP, reminder, attendance and public details before sharing the series.
- Use duplication only after checking that copied dates, capacities, locations and contacts are safe for the new series.
Important details
- Each session is an event record with its own operational state; do not assume an RSVP or attendance change applies across the series.
- Care Pod sessions can require host approval and confirmation before sensitive location details are shown.
- Changing the series pattern after people have responded can require communication with affected guests or hosts.
If something does not look right
- If a date is missing or duplicated, inspect the recurrence rule and exceptions before manually recreating the whole series.
- If a host cannot see a session, confirm assignment, approval and account email for that specific session.
